The email signature. That consistent piece of information that trails behind every single message you send out of your inbox. What should you do with that little gem that your clients, your prospective customers, and your vendors see all of the time?

Here are a few suggestions:

  • Be Branded – It’s not too difficult to add an image and some color/font styling to your email signature. Be branded to set the tone for representing your company through your emails.
  • Use Images… And Text – Make sure that your signature includes text for the main information, as full image signatures run the risk of being sent as an attachment… in which case they are rarely ever seen. If you add an image, make sure it’s a fixed URL so that you can avoid that whole attachment issue.
  • Follow Me! – If you’re on social media, don’t waste the opportunity of letting the world know that you are active on the various platforms. Add the icon for Facebook, Twitter, Google+, Yelp, etc. and link out to your company’s page to help drive traffic and to train your crowd to go to social media for specific announcements.
  • Give Me a Call When You Get a Chance – Your contact information may seem redundant, but think about the many frustrating technology scenarios that may occur on any given day as more and more people are checking work emails through a cell phone or mobile device which may or may not be syncing properly with their CMS system. Having your phone number on your email signature can save that extra step and grumble when you and your recipient have some important and timely issues to discuss. For the sake of business, add your contact info: your name, your title, your phone number, your website, etc.
  • Tout An Offer – Maybe your company has a great deal this month, a new product, a new line of business – no one knows until you tell them. This great news might come up in ad lib conversation… or it could help spark a conversation. Add and update brief announcements or offers that your company is running to get a little extra “ad space” that’s completely free.

So take a look at your email signature from the perspective of a current or prospective customer. Is it easy to get your contact info? Does it help jog memory of who you are and what you do?
